2022 Recap: ELICOS Initial Application

In 2022, I had the pleasure of successfully completing two ELICOS Initial Application submissions. In short, each application was submitted successfully without being asked to produce additional documents. After about six months of waiting, a zoom audit for one and a phone audit for the other was conducted, finalising the applications. After about a month to two of waiting, my clients received the approval letter.

It all sounds simple and straightforward, but there were a few things I made sure to make the process seamless, which I want to share with you today.

The well-prepared submission came with a few pleasant surprises – the audits were short and started with a compliment. One of the audits lasted only 25 minutes. The second audit started with the auditor complimenting my work by saying, “It was a pleasure reading your documents”, soon after the introduction finished. No additional document was requested for the first audit, and I only had to submit a substitute teachers list for the second audit. 

If you would like to submit a successful ELICOS initial application, here are my advice: 

  1. Read the Self-Assessment document thoroughly and follow the instruction. Such as providing the index page and attachments as per their request.
  2. Submit well-prepared facility documents such as the lease agreement, 9B and the floor plan. ASQA may ask you to provide a head lease agreement if your lease is a sublease. Make sure you have that ready.
  3. Provide all the compliance documents requested as per the relevant National Code 2018, ESOS Act 2000, and ELICOS Standards 2018.
  4. Feel free to question the auditor if the auditor request to submit something outside of scope.   
  5. Make sure the site video is thorough and do not hide anything. Start recording from the outside of the facility introducing the location of the site. Then enter the premises and go through the room by room, explaining the room’s capacity, facility, equipment, and resources. Show the resources in the video so the auditor knows you have purchased those resources on the list you’ve submitted. You may need to provide receipts for the resources you’ve purchased.
